A measurement is only as useful as the sample it belongs to. When green coffee is checked on arrival and measured again several weeks later, the team needs to know whether the two results are genuinely comparable. This does not require a complicated database. A unique sample identifier, a short procedure and a shared record already provide a useful foundation. This article offers a practical organisational approach for roasteries and coffee brands that want to make everyday measurements traceable.

Start with a question

Before measuring, decide which decision the work is intended to support. Are you documenting an incoming delivery, comparing it with a retained sample or investigating something noticed during production? Each question requires an appropriate basis for comparison. Write the purpose directly on the sample record. This prevents a routine reading from later being mistaken for a release decision and helps colleagues understand why the sample was examined.

A narrowly defined application is enough to begin: a roastery wants to connect measurements from the same delivery across several inspection dates. The initial objective is complete traceability. There is no need to invent universal limits. Acceptance criteria and corrective actions belong in your own technically justified quality procedures and, where relevant, the agreement with your supplier.

Give the sample its own identity

Assign an identifier that matches across the container, inspection sheet and digital record. One possible structure combines the delivery number, sampling date and a sequential sample number. Add the precise sampling location and the person responsible. The coffee name alone is insufficient when several deliveries or portions are in storage. A later subsample should also remain connected to its original sample.

Record how the sample was assembled and use an established approach for recurring checks. An arbitrary handful from one opened sack does not automatically represent the entire delivery. If the decision concerns the whole lot, the sampling plan must be suitable for that purpose. Keep comparison samples clearly labelled and store them according to your business's established storage procedure.

Make equipment and preparation traceable

According to its product description, the DiFluid Omix featured on our website supports measurements including water activity, moisture, density and roast degree. The page also describes self-calibration and data visualisation and export in DiFluid Café. These functions can support a documented inspection process. Consult the current equipment instructions to establish which measurement function, sample preparation and calibration are appropriate for your particular use.

Alongside the sample identifier, record the instrument, measurement mode, time and operator. Note relevant preparation steps and departures from the procedure instead of copying only the result. Preserve the units and labels used by the instrument. Results from different instruments or methods should not be treated as equivalent merely because they display similarly named numbers.

Keep repeat measurements visible

When a measurement is repeated, retain the first reading and add the reason for repeating it. Was preparation different, was an operating mistake identified, or is repeatability being checked? That information explains differences better than a silently replaced number. Agree in advance how many repeat measurements belong to your procedure and who makes decisions when results require investigation.

Consider a simple example: sample A is measured in the morning. In the afternoon, someone notices an inconsistent entry in the record. The team corrects the entry with a change note and, if appropriate, performs a new measurement. The original entry, correction and new measurement remain distinguishable. A colleague can then reconstruct what was actually measured and what was simply corrected.

A short checklist for every inspection

  • Connect the delivery, portion and sample identifier unambiguously.

  • Record the inspection question, sampling and preparation.

  • Check the instrument and intended measurement mode against its instructions.

  • Capture readings with their units and measurement time.

  • Label repetitions, departures from the procedure and corrections.

  • Record the responsible person and the next decision.

Turn records into a usable routine

Choose a shared storage location and a simple file-naming convention. When exporting data, check that sample identifiers and measurement times remain available. A second team member should be able to follow a selected case using the records alone. If information is missing, improve the form before extending the process to more coffees. A clear record is more useful in everyday work than a long form with fields that nobody completes reliably.

The product photograph shows the DiFluid Omix from the Kühne Kaffee product gallery. It illustrates the instrument and does not constitute a test report for any particular coffee lot. You can find further functions on the linked product page.
